2. Scope
This policy applies to personal data we process when you:
- create an account or use the Services;
- connect Podcut to third-party platforms (for example, social sign-in, channel connections, publishing, scheduling, or analytics integrations);
- communicate with us (for example support requests).
Third-party platforms and services you choose to use alongside Podcut have their own privacy policies and terms. We are not responsible for their practices.
3. Personal data we collect
We collect personal data in the categories below, depending on how you use Podcut.
3.1 Account and profile data
- Name and/or username
- Email address
- Password (stored in hashed form)
- Preferences and settings
- Profile details you choose to add (for example a profile image)
3.2 Content and inputs you provide
- Media you upload, import, or process (for example audio/video clips, images, thumbnails)
- Text you enter (for example captions, notes, tags, hashtags, titles, descriptions)
- Edits, cuts, exports, and other content created in the Services
- Links and metadata you provide (for example source URLs)
3.3 Connected third-party platform data (accounts and channels)
If you connect Podcut to a third-party platform (for example via "Connect account" or "Sign in with …"), we may receive and store:
- A platform-specific user identifier (often app-scoped)
- Account display name/handle and profile image (if provided)
- Email address (if provided by the platform and you grant permission)
- Authorisation credentials (such as access tokens) needed to maintain the connection
- A list of available publishing destinations linked to your connected account (for example pages, profiles, channels, or similar), including destination identifiers and display names
- Which destinations you select and enable within Podcut
We request and process only the data needed to provide the features you enable.
3.4 Publishing and scheduling data (posts you create in Podcut)
When you create a post to publish immediately or schedule for later through Podcut, we process:
- Post content (text/caption and any attached media)
- The destination(s) you select
- Whether the post is immediate or scheduled, and the scheduled date/time
- Delivery status and operational logs (for example queued, sent, failed, retried)
- Identifiers returned by a platform after publishing (for example a post ID) and related metadata needed to display publishing history and support troubleshooting
Podcut does not publish content to any third-party platform unless you instruct it to do so (immediately or via a scheduled post you created).
3.5 Usage, device, and log data
- IP address
- Device type, operating system, app version
- Device identifiers where available and permitted
- Approximate location inferred from IP address
- App activity and interaction data (for example feature usage, session timestamps)
- Crash reports and performance metrics
- Security logs (for example sign-in events, access anomalies)
3.6 Payments and subscriptions (if applicable)
If you purchase paid features, we may process:
- Subscription status, plan type, renewal information
- Transaction identifiers/receipts
- Limited billing metadata needed for accounting and support
We do not typically store full payment card details; these are usually handled by app stores or payment processors.
3.7 Communications and support

- Technical details you choose to share to help diagnose a problem
4. How we use your personal data
We use personal data to:
- Provide and operate the Services (create accounts, authenticate users, deliver features, process media, store your content, sync settings)
- Connect and manage third-party accounts and destinations (authenticate connections, discover available destinations, let you select which to enable)
- Publish and schedule content on your instruction (send posts and media to the destinations you select, immediately or at a scheduled time)
- Maintain publishing history and diagnostics (show what was posted, where and when; investigate failures; provide support)
- Secure the Services (fraud prevention, abuse detection, access control, incident investigation)
- Improve the Services (testing, analytics, performance monitoring, feature development)
- Communicate with you (service messages, support responses, account-related notices)
- Comply with legal obligations and enforce our terms (legal compliance, dispute resolution, auditing)
We do not sell personal data.
5. Legal bases (UK/EEA users)
Where UK/EEA data protection laws apply, we process personal data under one or more of these legal bases:
- Contract: to provide the Services and features you request (including publishing/scheduling you initiate)
- Legitimate interests: to operate, secure, and improve Podcut (balanced against your rights)
- Consent: where required (for example optional integrations, marketing where applicable, certain device permissions)
- Legal obligation: where we must comply with law
6. How we share personal data
We share personal data only as described below.
6.1 Service providers (processors)
We use trusted service providers to help operate Podcut (for example hosting, storage, content delivery, analytics, error monitoring, customer support tooling). They process personal data on our instructions and must protect it.
6.2 Connected third-party platforms (publishing on your behalf)
If you connect a third-party platform and enable publishing, Podcut will share data with that platform as necessary to provide the feature you requested, including:
- Authorisation information required to authenticate requests
- Selected destination identifier(s)
- Post content and attached media you ask us to publish
- Scheduling/publishing parameters required by the platform
Those platforms process data under their own privacy policies and terms.
6.3 Legal, safety, and rights
We may disclose information where we reasonably believe it is necessary to:
- comply with law or valid legal process;
- protect the rights, safety, and security of Podcut, our users, or others;
- prevent or investigate fraud, abuse, or security incidents.
6.4 Business transfers
If we are involved in a merger, acquisition, financing, reorganisation, insolvency, or sale of assets, personal data may be transferred as part of that transaction, subject to appropriate safeguards.
7. Data retention
We retain personal data only as long as necessary for the purposes described in this policy, including to provide the Services, comply with legal obligations, and resolve disputes.
Typical retention approach:
- Account data: retained while your account is active.
- Connected platform credentials (e.g. tokens): retained while the connection is active; deleted or invalidated when you disconnect, subject to backup rotation.
- Destination lists and enabled destinations: retained while connected or until you remove/disable them.
- Scheduled posts: retained until published, cancelled, or deleted by you.
- Publishing history and logs: retained for a period to provide history views, customer support, and security/troubleshooting (you may be able to delete items via the app where available; otherwise delete your account or contact us).
- Backups: personal data may persist in backups for limited periods; it will be removed as backups are rotated on the normal cycle.
8. Your rights and choices
Depending on your location and applicable law, you may have rights to:
- access your personal data;
- correct inaccurate or incomplete data;
- request deletion of your personal data;
- object to, or restrict, certain processing;
- receive a copy of your personal data (data portability);
- withdraw consent where processing is based on consent.
You can exercise these rights by contacting hello@podfirst.com. We may need to verify your identity before fulfilling requests.
Managing connected platforms and destinations
You can manage connected platforms and enabled destinations in the app (Settings → Connected accounts). You may be able to:
- disable a specific destination without disconnecting the whole account; and/or
- disconnect an account entirely.
You can also revoke Podcut's access in the third-party platform's own settings (often under "Connected apps" or "Authorised apps"). Revoking access stops future publishing and data sharing from that platform to Podcut.
9. Data deletion instructions
Podcut provides a clear way for users to request deletion of their data, including data obtained via third-party connections.
9.1 Delete your Podcut account and associated data
You can request deletion by:
- using the in-app deletion option (if available): Podcut → Settings → Account → Delete account, or
- emailing hello@podfirst.com with the subject line: "Data Deletion Request".
After we verify your request, we will delete or anonymise personal data associated with your Podcut account without undue delay (typically within 30 days), unless we must retain certain information for legal reasons (for example accounting, tax, or fraud prevention).
9.2 Disconnect third-party platforms (stop future publishing)
You can stop future publishing by disconnecting the platform within Podcut and/or revoking access in the platform's settings. If access is revoked or expires before a scheduled time, scheduled posts may fail to publish.
Disconnecting/revoking access does not automatically delete data already stored in Podcut; for deletion, use the account deletion method above.
9.3 If you cannot access your Podcut account
If you no longer have access to your Podcut account but previously connected a third-party platform, contact hello@podfirst.com and provide the details you can (for example the email used with Podcut and/or the platform handle). We will take reasonable steps to locate and delete the associated data, subject to identity verification and legal requirements.
10. Security
We use administrative, technical, and organisational measures designed to protect personal data against unauthorised access, loss, misuse, alteration, or disclosure. No system is completely secure. If you believe your account has been compromised, contact hello@podfirst.com.
11. International transfers
Your personal data may be processed in countries other than where you live (for example where our hosting or support providers operate). Where required, we use appropriate safeguards for international transfers.
12. Cookies and similar technologies (website only, if applicable)
If we operate a website, it may use cookies or similar technologies for essential operation, performance, and analytics. You can control cookies through your browser settings and, where offered, cookie preference tools on our website.
13. Children
Podcut is not directed to children under 13 (or the minimum age required in your country). We do not knowingly collect personal data from children. If you believe a child has provided personal data, contact hello@podfirst.com and we will take appropriate steps.
14. Changes to this policy
We may update this policy from time to time. We will update the "Last updated" date above and, where appropriate, provide additional notice within the Services.
